This month’s Case Study features McKenzies Group, a Chartered Accounting and Business Advisory company based in Surrey in South-East England. McKenzies Group is a leading provider of professional services – and sees it in their best interest to invest in information technology to ensure their clients receive the highest level of service. As part of the group’s investment, McKenzies initially selected the practice management solution, Advance PM, and it was through this solution that they first became aware of APS’s Vigilant module.
Vigilant is a powerful suite of Business Process Management (BPM) technologies that enables organisations to automate manual processes and employee-driven tasks, while also consolidating different systems and information databases. It achieves this by ‘loosely coupling’ with a company’s existing applications into the business systems and information. Vigilant has a range of Business Process Management Solutions that a company can add to its existing business applications including;
Advanced Business Alerts - receive real-time alerts of critical events; ensuring your organisation is compliant and always one step ahead
Documentation Automation - save time and money by automating the creation & distribution of everyday company documentation.
Web Content Publishing - keep your web portals synchronised and up-to-date by automating company web content
Subscriptions and Requests - empower stakeholders to request and receive information without employee intervention
Integration - transform all your company applications into one event-driven, service-oriented management solution
The McKenzies Group knew they needed to invest in a business process management solution– as their old manual processing systems were causing costly errors, time lags and were repetitive for staff, and importantly strangling cash flow in the company.
The Group identified the following as their key business requirements in searching for a new business process management solution;
Automate invoicing procedures
Ensure all data entries are 100% complete
Increase the visibility of Work In Progress (WIP) activities
Automate the creation and distribution of management reports
Monitor and enforce company rules and procedures
Remove needless administration from employee workloads
Once they started to map out their processes and put the wheels in motion – they could see that Vigilant was going to remove a considerable amount of administrative burden and most importantly meet their business needs.
Greg Mackay, Software Consultant for McKenzies said, “Vigilant has delivered a number of financial benefits to the company and is an excellent ‘goto’ solution when looking to implement or enforce business rules and procedures.”
“Vigilant is able to automate the extraction, formatting and distribution of business critical information to and from Advance PM – so we now have our systems working with each other to achieve the best solution for all,” Greg said.
Since its implementation McKenzies Group has found by using Vigilant they now have:
Substantial improvement in company cash flow
Dynamic delivery of WIP reports by exception and/or scheduled events
Decrease in debtor payment cycles
Higher level of detail now being collected on client records
Improvements in fixed fee management activities
Platform to automate other critical business processes.
The benefits of automating McKenzies data validation process were stressed by Greg when he said, “The result of using Vigilant to automate this heavy, repetitive administrative process has been a higher level of detail being collected concerning client records, all businesses these days understand the importance of having full and accurate information at hand.”
The primary commercial gain Vigilant has brought McKenzies is a significant improvement in company cash flow and fixed fee management.
