Printroom / Reprographics Workflow Solutions

The printroom solution manages the workflow of any requests being sent to the firms reprographics centre.  The web-based form can be customised to meet the firms requirements to facilitate the capture and validation of detailed printroom request instructions.  Users can submit physical documents or attach electronic documents to the form during the submission process and have full visibility of the status of their requests via the browser based interface or via an e-mail alerts facility which users can subscribe to.

The reprographics team will receive the requests and can progress the job through the workflow.  The system updates the jobs status automatically as the printroom team work on the request.  Printroom operators Identify the job using it’s unique system generated ID, reducing the need to retype billing details or decipher hand written notes, therefore reducing errors and ensuring each job is tracked through the system automatically.  Costs can be captured at the MFD devices using the industry-leading Advantage terminal or entered manually in the case of binding, dividers, files and other disbursements.  Overruns and reprints can be adjusted quickly and efficiently and ensure billing accuracy and each transaction is linked to the device, operator and job number ensuring transparency and accountability.

Account Code Validation
Is performed when users complete the request form.  Printroom operators only need to know the unique job number that is generated by the system to process work, reducing re-keying and billing errors.

Multiple Printrooms
Support for routing of documents between service centres to make the best use of available resources.  Document service centres can route documents to a 24-hour printroom at the end of the shift, or to an outsourced provider and track where each job is and where it is being processed.

Custom Request Forms
Can be designed to meet the firms capture requirements.  Users select from options and often do not need to enter lengthy narratives to specify how the work should be generated.  This reduces the need for printroom teams to confirm the requirements with the user and streamlines the process.

Reports on printroom activity
Can be easily generated to verify volumes by client, matter, department, user, printroom operator and MFD device.  Along with a suite of reports to verify that the printroom is delivering a quality service.
